Budgets in Storefront

Admins can control Store User Budgets in the Budgets section under any given Storefront in their Brilliant Dashboard in the admin panel.

Budgets must be enabled for this section to show to admins. To get access to budgets, reach out to your Brilliant team or email [email protected]. Not all Storefront plans include Budgets.

Default Budget Settings

From the Budgets page, at the top you can control your Default Budget Settings via the Edit option. This is the default budget all users in the Storefront receive, which can be overridden per user as needed.

From the Edit Default Budget Settings view, you can choose from Unlimited Budgets or set a specific dollar amount by day, week, month, quarter or year. Click Save budgets to immediately apply the changes to all users using the Default option today in your Storefront. This will update Budgets immediately, not in the next time cycle.

Edit Individual Store User Budgets

In the table, search to find the user whose budget you'd like to change and click Edit next to their name to open the edit budget module. Choose No Limit or set a dollar amount by day, week, month, quarter or year. Click Save to immediately apply these changes to the users budget.

Bulk Upload Store User Budget Changes

If you need to make bulk changes to Store User budgets outside of their typically refresh periods, you can use the bulk upload feature.

Click Download sample .csv to download a .csv template which has two columns:

  • User: This lists the users in the Storefront by email address.

    • You cannot add additional users to this spreadsheet, this will not add the user to the Storefront or issue them a budget. To add a new user or multiple new users and set their budget(s), first add them to the Storefront, then use the bulk upload feature to adjust their budget(s).

  • Budget: Enter the budget amount you’d like to change this user to. This can be just a number (i.e. 500), a number with dollar signs , commas and decimals (i.e. $1,500.50), or 'Unlimited'. Entering 'Unlimited' in this column gives the user an unlimited budget.

    • Leaving this column blank will NOT set the users budget to $0. Rows with blanks will be skipped in the upload process and our system will not apply any changes to this user.

    • Note - this upload process will not change the time period for this budget (i.e. monthly, quarterly, annually.) It will only apply a new amount to the current time period and overwrite the existing value.

To upload the file, click Choose File to select a file and click Upload Budget CSV. You’ll then see the updated budgets in the table below.

Budgets FAQs

Can I use Budgets in non-USD Storefronts?

Budget amounts can be used in Storefronts that use 'special currency' or points, but cannot be used in foreign currency Storefronts.

Do budgets roll over?
Budgets are use it or lose it, they do not roll over. If you would like budgets to roll over we recommend using our Gift Cards feature instead.

Can I set budgets to custom dates or my fiscal quarters?

Quarters are calendar quarters in Brilliant's system. Brilliant does not support custom quarters at this time. If you would like budgets to be issued at custom dates we recommend using our Gift Cards feature instead.

Do Budgets only apply to orders made through a Storefront?
No, budgets can be used on Preferred Gift Campaigns or Send a Gift sends associated with your Storefront as well. For more information on expanding your Storefront footprint to include these features, reach out to your Brilliant team!

Can I see how my users spent their budget?

We do not have budget reports available in the Brilliant dashboard today, but reach out to your Brilliant team and we can help support your budget reporting needs.

Can I cancel someone's budget?

To cancel their budget, set their dollar amount to 0.

Can I use Budgets for Public Storefronts?

No, our Budgets feature is strictly for private Storefronts that only invited Store Users can access. We recommend using our Gift Cards feature instead.

Can I let my team spend over their budget by using a credit card?

No, users will not be able to spend over their Budget amount. If you'd like users to be able to use a credit card to spend above their budget limit, we recommend using our Gift Cards feature instead.
