Rippling New Hire Automation Setup

The New Hire Automation Setup is available to all Rippling Admin users. Follow the steps below to create your Workflow in your Rippling Workflow Studio and connect it to your Brilliant New Hire Campaign.


Rippling Workflow Setup

Use this Rippling Workflow Studio Getting Started Guide to create your desired workflow in Rippling. For a New Hire campaign setup, here are some suggested guidelines:


Trigger

Select the trigger called "Relative to Someone's Start Date". Follow the prompts to select when you would like for each New Hire to receive their welcome gift email through Brilliant.

We recommend a configuration that sends New Hires their gift email either on or after their start date. This is especially important if you will be using the employee's new work email address to send the gift email, to ensure that the New Hire has access to their new email address before the automation sends.


Filters

Within your trigger setup, select filters to ensure that the right New Hire employees receive their gift email. For example, you might add a filter condition for an Employee Type to only include full-time employees, or to exclude contract hires.


Action

  • Set the action to Send an Email.
  • Set the email to send to the custom email address provided to you by Brilliant for your Automation.
  • Set the Subject of the email to: [Your Company Name] - New Hire - [Employee Name]
  • Set the Body of the email to include each of the below (please use this exact format):
    • Employee Name: [employee name here]
    • Employee Email: [employee email address here]
    • Employee Start Date: [employee start date here]


Brilliant Workflow Setup

Once you have completed the Rippling Workflow Setup, email your Brilliant Implementation contact to confirm that setup is complete. Our team will complete the Automation build on your Brilliant storefront and schedule a test date with you to run the first live employee contact submission.


After live testing, our team will monitor your Integration closely for any errors or blockers and will be available to answer questions or make requested updates for the duration of your Automation.
